To enhance the approval workflow and reduce missed actions during the proofing process, we’ve introduced intelligent reminders within Collaborate.

What’s new:

Users sometimes complete annotations but forget to select an approval decision—Approved or Changes Required—before exiting. To address this, Collaborate now includes a confirmation prompt when users attempt to exit the Proof Studio without making a decision.

The new message reads:

“Are you sure you want to exit Proof Studio? No decision has been made yet.”

This subtle but effective reminder helps ensure that users complete their review actions before leaving, improving accuracy and consistency without interrupting the proofing experience.

To provide deeper insights into project timelines and user accountability, we’ve added new optional columns to the User Report and User Activity Report in Collaborate.

What’s new:

These enhancements introduce two new metric categories designed to improve visibility and tracking:

Option One – Upload Length (User Report)

New columns added to the User Report to highlight project lifecycle and activity:

• Date of First Upload – When the project activity was initiated.
• Date of Completion – When the project was finalized (if applicable).
• Length of Project – Duration between the first upload and completion.
• Number of Versions Uploaded – Total file versions uploaded during the project.

Option Two – User Sign-Offs (User Activity Report)

New columns added to the User Activity Report to monitor sign-off behavior:

• User – Reviewer assigned to the version.
• Date Version Uploaded – When the version was shared for review.
• Date Version Is Overdue – The sign-off deadline.
• Date User Signed Off – When the user completed their review.
• How Long Overdue the User Signed Off – Delay (if any) beyond the expected deadline.
